Share the invite link

The President shares the chapter's invite link. Members tap it, create an account, and land on the roster.

The roster fills

Every member gets an account — never capped, so the roster is the whole chapter.

Hand out roles

The President grants Admin to the officers who run events. Sobers aren't standing roles — they're assigned per event.

01Create

Set the night up in a minute

An Admin — usually the Social Chair or Risk Manager — creates the event: date, time, venue, capacity. Turn the guest list on and set the caps, or leave it off.

  • Venue capacity locks once the first person checks in
  • Guest caps: per member, event total, or no limit — your call
  • Save as draft, publish when it's real
02Invite

Invite chapters, allocate wristbands

Pick the chapters you're hosting, give each an allocation, send. Their Admin accepts and releases wristbands to their members — you never touch another chapter's roster.

  • Each chapter manages its own members
  • Allocations only go up, never down
  • Every invite carries its allocation — chapters review and accept
03Release

Set who can claim

The invited chapter's Admin accepts the allocation and releases wristbands to their own members — with a grade filter if the night calls for one. Default is everyone; uncheck grades to limit who can claim.

  • Grade filter is set before wristbands release — default is All Members
  • A live counter tracks claims as they land
  • Add a grade later and release the remaining wristbands
04Claim

Members claim, guests get added

The moment wristbands release, members claim theirs in the app — one per member, tracked live. When the guest list is open, members add their guests by name.

  • Guests don't need the app — their pass works in the browser
  • Plans change? Transfer a pass to a member in your chapter.
  • Admins watch claims move in real time
05Sobers

Assign Sobers

Before the night starts, an Admin assigns Sobers from the chapter roster. They work the door — verifying faces, checking members in, watching the live count.

  • Assigned per event — a job for the night, not a standing role
  • A member already covering another event is blocked from double-booking
06The door

Run the door in real time

At the door, every pass opens to one screen: name, photo, one Check In. The Sober working the door verifies the face and taps. The live count updates as the night moves.

  • One pass per member, one check-in per pass — timestamped the moment it happens
  • Manual check-in exists for judgment calls, and it's flagged as manual
  • An Admin can invalidate any wristband on the spot
07The record

The night closes into a record

When the event archives, the chapter holds a complete, named summary — who was authorized, who came through, chapter by chapter, with timestamps and the Sober roster.

  • Named and role-based, never just a headcount
  • Export the full attendee record as CSV
  • Visible to Admins and the President — kept after the event

The guest list

Guests, without the app.

When the guest list is on, members add guests by name. The guest gets a link, the pass lives in their browser, and the door treats them like everyone else.

  • Caps hold on their own — per member and for the event
  • Every guest pass names who invited them
  • Guests land on the record and the CSV like members do

Nights drift. Every change has a clean path — and every path lands on the record.

Recall

Take an allocation back

Hosts stay in control after the invites go out. Recall a chapter's wristbands at any time — the full scope is shown before it commits, and everyone affected is notified.

  • Scope shown before you confirm — claimed wristbands included
  • Affected members and the chapter's Admin are notified automatically
  • Recalled wristbands stay on the post-event record with a note

Transfer

Plans change? Pass it on

Until the moment it's checked in, a wristband can move to another member of the same chapter. Pick the member, confirm once.

  • Same chapter only — and only members without a wristband for that event
  • A confirmation, so a pass never moves by accident
  • Once checked in, transfer is off the table

Invalidate

Pull a wristband on the spot

If a pass needs to go — a judgment call, mid-event — an Admin invalidates it in two taps. Entry stops immediately, and the record keeps the note.

  • Confirmed before it commits — invalidation can't be undone
  • The slot returns to the chapter's pool for another member
  • Invalidated wristbands stay on the record, never silently dropped

Role-based, on purpose.

Every action in Nojo belongs to a role, and every role sees only what it needs. That separation is why the record means something.

President

Owns the chapter

Runs the roster, grants Admin access, holds the subscription. Everything an Admin can do, plus chapter governance.
